IP management software: how corporate IP teams choose and implement an IPMS
An IP management system (IPMS) is the system of record for a corporate IP portfolio: rights, deadlines, renewals, inventors, agreements and costs. Choosing one starts with your operating model, then the platforms that fit it. Our professionals have implemented, selected, reviewed or operated the major IP management platforms. Our IP management practice is led by Roger Jarman and Imran Jaswal.

What an IPMS does
What IP management software does.
IP management software, also called an IP management system or IPMS, keeps the record of every patent and trademark right a company owns: filing and prosecution status, deadlines, renewals and annuities, inventors and owners, agreements and licenses, and the cost of keeping each right alive.
For a corporate IP team it is also the workflow engine. Invention disclosures come in, decisions are recorded, outside counsel and foreign associates are instructed, and the budget is tracked against what is actually spent. Our IP management practice selects, implements and runs these systems for corporate IP departments.
Checklist
What to look for in IP management software.
Score every platform on the same scenarios, run on your own portfolio.
| Capability | What to look for | Why it matters |
|---|---|---|
| Docketing and deadlines | Country rules for every jurisdiction you file in, PTO data feeds and a deadline audit trail. | Missed deadlines are the most expensive failure in IP operations. |
| Patents and trademarks | Both in one system, with families, classes, and goods and services. | Separate systems split reporting and double the administration. |
| Invention disclosure | Online intake, review committees, inventor records and awards. | Disclosures are where the portfolio starts. |
| Renewals and annuities | Renewal decisions in the platform, linked to your annuity payment provider. | Renewals are the largest recurring cost in most portfolios. |
| Agreements and licensing | Licenses, assignments and joint ownership linked to the rights. | Licensing data drives revenue and ownership decisions. |
| IP spend and invoices | Outside counsel and foreign associate invoices tied to matters and rights. | Budget and actuals in one place. |
| Reporting and dashboards | Portfolio, cost and deadline dashboards for management. | Leadership sees the portfolio as a business asset. |
| AI | Docketing from PTO correspondence and counsel email, and search across records. | Less re-keying and fewer data errors. |
| Multi-language | Interfaces and records that work for teams across regions. | Global filers work across Asia, Europe and the Americas. |
| Integrations | ELM, IP document management, eBilling, finance and single sign-on. | The IPMS has to share data with the rest of the business. |

How it is priced
How IP management software is priced.
01
Portfolio size
Many platforms price by the number of matters, records or rights under management.
02
Users and connected firms
The number of users, and on some platforms the number of law firms connected to the system.
03
Modules
Patents, trademarks, invention disclosure, renewals, IP spend and AI are often licensed separately.
04
Hosting
Cloud subscription, private hosting or on-premises.
05
Renewal services
Annuity payment services are usually priced as a service fee per renewal, with official, agent and currency costs passed through.
06
Your quote
Vendors quote each customer, so compare quotes on the same portfolio and scope.
One-time costs
The one-time costs outside the subscription.
The subscription is one line. These are the rest.
| Item | What drives it | When you pay |
|---|---|---|
| Readiness assessment | Operating model, data quality, integrations and team readiness. | One-time |
| Process design | Docketing, foreign filing, invention disclosure and renewal processes. | One-time |
| Configuration | Country rules, workflows, forms, security and reports. | One-time |
| Data migration and validation | Records from the current system or a homegrown tool, validated against the source. | One-time |
| Integrations | ELM, IP document management, eBilling, finance and the annuity provider. | One-time, plus maintenance |
| Testing and training | User acceptance testing, documentation and training, multi-language where needed. | One-time |

Selection
How to select an IPMS.
Start from the operating model
Map how your team files, prosecutes, renews and budgets, in which jurisdictions and at what volumes. That becomes the set of scenarios every platform is scored on.
Confirm readiness and fit
Score each platform on your own scenarios and data, then check readiness: data quality, process ownership and the team that will run it. For many clients it is the nuances that separate the vendors.
Implementation
Implementation and migration.
Most of the work is in process and data. Docketing records, families, deadlines and costs come across from the current system or a homegrown tool, are validated against the source, and are cleaned before go-live, so the new system starts with data people trust.
Roger Jarman, Sam Lu, Imran Jaswal and Hassan El Asraoui delivered one of the largest MaxVal implementations, for global filing across Asia and the United States: process design, implementation, multi-language rollout, data migration from a homegrown system, and go-live support across three continents.
Integrations
Connected to the rest of the business.
ELM and eBilling
Outside counsel matters and invoices in the ELM, linked to the rights in the IPMS, so management dashboards show cost per right and budget against actuals. Roger Jarman is Onit Level 4 certified, so the IPMS connects cleanly to the ELM.
IP document management and finance
IP documents filed to the right family in the document management system, and budgets and accruals shared with finance.
IP budgeting
IP budgeting with Prokurio.
Through our selected partnership with Prokurio, Chief IP Counsel and Heads of IP Operations can model global filing scenarios, project costs across jurisdictions and align the IP budget to business strategy. It complements the IPMS, which stays the record of the portfolio.

Frequently asked questions
What is IP management software?
IP management software, or an IP management system (IPMS), is the system of record for a company’s patents and trademarks: filing status, deadlines, renewals, inventors, agreements and costs. For corporate IP teams it also runs invention disclosure, outside counsel instructions and IP budgets.
What is the difference between an IPMS and docketing software?
Docketing software tracks deadlines and filing steps. An IPMS covers the whole portfolio: docketing plus invention disclosure, renewals, agreements, IP spend and reporting. Most corporate IP teams need the full IPMS; some smaller trademark portfolios run on docketing alone.
How is IP management software priced?
Vendors quote each customer. The drivers are portfolio size (matters, records or rights), users and connected law firms, modules and hosting. Annuity payment services are usually priced per renewal. One-time costs cover readiness, process design, configuration, data migration, integrations, testing and training.
Which IP management software is best for a corporate IP department?
It depends on fit: your jurisdictions and filing volumes, how you run invention disclosure and renewals, which systems the IPMS must connect to, and the team that will run it. For many clients it is the nuances that separate the vendors, so they hire Swiftwater to confirm readiness and fit before they commit.
How do you migrate from a homegrown IP system?
Map the homegrown data to the new platform, clean it, migrate it in test runs, validate every family, deadline and cost against the source, then cut over with go-live support. Our professionals have done this at global scale, including a migration from a homegrown system for global filing across Asia and the United States.
What does Prokurio add to an IPMS?
Budget scenario modeling. Through our selected partnership with Prokurio, IP teams model global filing scenarios, project costs across jurisdictions and align the IP budget to business strategy, while the IPMS stays the record of the portfolio.
